The Role

The role is broadly described as business and operations assistant. This is for my client’s business, based in the USA. I am an active hands-on advisor for this business. This business is a leading niche in the strategic communications market.

Your day-to-day role will be predominantly the following:

  • Client Reviews, Task List, Action Points, Minor Client Comms

My client has multiple partners who work 1:1 with their end clients. After a meeting/call, follow-ups must be organised. A quick summary should also be produced. These notes must then be stored. You will need to arrange any follow-ups with clients/the partners, as discussed in the meeting. We use AI currently so you can use the AI tool which will make this part of the role quick and easy.

  • Project Management

As time goes on, we will have mini projects within the company. You will play the role of project manager for these mini projects, ensuring everyone and everything is being done on time and within the agreed budget, resources etc. Please note, these will be small projects, we are not talking about big, corporate-wide projects at all.

  • Internal Communications

You will ensure we all internally communicate properly and effectively. I.e. that meetings are not missed and the like. This is akin to schedule and diary management for the entire team.

  • Research and Reporting

Our partners require general internet research (search parameters, scope etc. will be provided). You will need to conduct this research (some of it is 1 time, others are ongoing and repetitive). You can feed researching findings into an AI tool to summarise (if you feel that is easier/quicker- we are absolutely open to that).

  • Notion

You will own the Notion function. You will create a proper Notion function, including the processes, documents, contents contained therein. As the Notion owner, you will make this as easy and as accessible as possible. You must have prior experience and confidence to use Notion to its fullest potential and extent.

  • LinkedIn

You will use and administer the LinkedIn accounts for the partners, under specific requirements and instructions.

  • Additional Minor Operational Support

For example, finding prospects based on set criteria, providing other research updates. This would be quite simple stuff and nothing whereby you will need extra skills to complete. However, you need to be aware that agility and flexibility is needed to a degree (I would estimate about 25% of your time is for flex support).

You, Your Skills + Experience

You must be able to speak, read and write English at an advanced level (ideally, to a level of near fluency).

You have some prior experience across general business operations, ideally reflecting the requirements of the role set out above.

You have experience using Notion or other Project Management software to an advanced level.

You have an interest in digital tools for business, including AI tools.

You are a self-starter. You are trustworthy and integral. You get your work done to the highest of standards and you thrive in your own environment.

Hours + Pay

Your core hours will be 1pm-6pm. Other hours can be flexible to your requirements.

We all work remotely but we will meet in-person at least once a week in Budapest.

Pay Range: HUF550,000-750,000 per month, depending on your experience.
